SuccessFactors EC: Intelligent Services event fires twice on a rehire

Helping a sister company on SuccessFactors Employee Central. Their onboarding integration is triggered by the 'Rehire' Intelligent Services event, and for rehires it fires twice — so the downstream system creates two records. Single hires are fine. Looks like the rehire is generating both a 'Rehire' and a 'Hire' event, or the same event twice with different effective dates. Anyone seen this?

Tomás FerreiraFounding Member Rehire in EC often writes two employment records under the hood (close the old, open the new) and each transaction can raise an event. The fix on our side was to make the downstream integration idempotent on person-id + event-date, so a duplicate event is a no-op. Filtering at the ISC flow is fragile.

Governance: who owns position management when Finance edits positions too?

We have position management switched on. HR creates positions, but Finance edits the budget and cost center on them directly in the system because they own the org budget. Predictably, positions drift — titles that don't match the job, FTE that doesn't match the budget line, vacancies that Finance closed but HR still recruits against. I don't think the answer is 'take Finance's access away'. How have people drawn this line cleanly?

Deepa NairFounding Member Split the fields, not the object. HR owns the position's job attributes (job profile, title, grade, FTE). Finance owns the financial attributes (cost center, budget, funding end date) via a controlled process, not direct edit. Lock the HR fields from the Finance security group and vice versa. The position stays one object with two owners of different columns.

EBS R12 to Fusion: element entries not carrying retro with the balance initialization

Mid-project on EBS R12 to Fusion. We're initializing balances as of go-live and loading open element entries. The recurring entries load fine, but anything with a retro impact from before go-live isn't reflected — so the first Fusion payroll under-recovers on a few loans and over-pays on a couple of allowances that had a backdated increase in EBS. Are people loading a separate retro adjustment element for the pre-go-live delta, or is there a cleaner way through balance init?

Tomás FerreiraFounding Member Separate one-time adjustment element per employee for the pre-go-live delta is the standard move. Balance init gets you the year-to-date figures for statutory, but it won't replay retro events. Calculate the delta in EBS, load it as a non-recurring entry dated go-live, and let the first Fusion run true it up.

Headcount drift between core HR and the BI warehouse — 30-40 heads every month

Finance and HR argue about headcount every month because the number in the BI warehouse is 30-40 off from the core HR system. The warehouse loads from a nightly extract. When I reconcile, the drift is always a mix of: employees on unpaid leave, employees pending a future-dated termination, and a few contingent workers. Everyone counts these differently. Before I go define 'headcount' for the fourth time — is there a standard the GCC crowd actually agrees on?

Karim HaddadFounding Member There's no universal standard, but the pattern that ends the argument: publish three numbers, not one. Active headcount (paid + on paid leave), total workforce (adds unpaid leave + notice period), and FTE. Finance picks which one they budget against and you stop reconciling to a moving target.

WPS SIF file rejected by the bank — 'employee record mismatch' on reconciliation

Monthly WPS SIF upload rejected. Bank says the employee count and total don't match their register. Our payroll register is correct. Diffing the SIF against the bank's expected list, three employees are on the bank side that we terminated last month, and two new joiners are missing from the bank side. So it's a sync gap between our HR system and the bank's MOL register, not the SIF format. How are people keeping that register in sync without doing it by hand every month?

Deepa NairFounding Member We generate a delta file (joiners + leavers + IBAN changes) straight after payroll lock and send it to the bank's portal before the SIF. The SIF then reconciles because the register is already updated. The delta is a small extract — labour card number, action, effective date.

Darwinbox Workflow Studio: conditional approver not resolving for cross-entity moves

Transfer workflow with a conditional approver — 'if the target entity differs from the source entity, add the target entity HR head'. Works for moves within a country. For cross-entity moves the step resolves to nobody and the request just sits there. The target entity HR head role is definitely assigned. Feels like the condition is reading the source context, not the target.

Rana Al-MutairiFounding Member In Darwinbox the workflow evaluates approver roles against the employee's current entity until the move is effected. So 'target entity HR head' resolves against the source entity, finds nobody with that role there, and dead-ends. We solved it by mapping the approver to a lookup table keyed on target entity rather than the role directly.

Business process routing skips the compensation step for one supervisory org

Our Hire BP has a conditional 'Request Compensation Change' step gated on a calculated field that checks the job profile's compensation grade. For one supervisory org it never fires, even though the grades are populated. Same job profiles work fine elsewhere. I've checked the condition rule, the security groups on the step, and the org's staffing model. Stuck.

Karim HaddadFounding Member When you say 'never fires' — does the step show as skipped in the BP history, or does it not appear at all? If it's skipped, the condition is evaluating false. If it's absent, it's a security group problem on that org's initiator.

Fast Formula rounding drift on GB gross-to-net — 1p off for a subset

We run a small GB population off the same Fusion instance as our GCC entities. Every cycle a handful of employees are 1p off on net pay versus the parallel run. It's always the same shape — someone with a mid-period rate change and a percentage-based deduction. I suspect the order of the deduction fast formula relative to the proration formula. Has anyone nailed down whether it's a rounding rule on the element or the formula itself?

LikeFollow3 replies
  • TF

Tomás FerreiraFounding Member We had this exact thing. It was the deduction element's rounding rule set to 'Standard' while the earnings were 'Round Down'. Once we aligned both to the same rule and forced the proration formula to return a rounded value before the deduction reads it, the drift went away. Check the element's Rounding Rule under the input value, not just the formula.

  • KH

Karim HaddadFounding Member Agreed, make the consumer idempotent. We key on user-id + event-type + effective-date and drop anything we've already processed within the last 24h. Trying to dedupe inside Intelligent Services rules turned into whack-a-mole.

Rana Al-MutairiFounding Member And agree a single 'position status' owner — usually HR — because that's the field that decides whether recruiting can act. Finance can request a freeze, HR sets the status. One writer for the field that triggers downstream action.

Rana Al-MutairiFounding Member That's what I feared. Fine — I'll extract the retro delta from EBS by element and load one-time adjustments. At least it's auditable.

  • DN

Deepa NairFounding Member And put future-dated terminations in their own bucket until the date passes. The warehouse extract should snapshot as-of the run date and ignore anything effective in the future, otherwise the number changes retroactively when you look at last month.

Rana Al-MutairiFounding Member Same here. The key is that the leaver has to hit the bank register before the SIF that excludes them, or the bank flags the missing record. We run the delta on lock day and the SIF the next morning.

Karim HaddadFounding Member A lookup table keyed on target entity — that's clean. Building it now. Did you maintain it manually or feed it from the org master?

Deepa NairFounding Member Skipped, with 'condition not met'. But the grade IS on the position.

Deepa NairFounding Member Also worth checking whether the percentage deduction is reading the prorated amount or the full-period amount. If the formula pulls the un-prorated balance and then applies the percentage, you get a fraction that rounds differently than payroll expects.
